Contact Form Not Working? This Might Be Why

If a customer has ever told you they filled in your contact form but never heard back, this one’s for you.

It’s one of those problems that’s completely invisible from your end. The form submits, you get a little success message, and you have no idea the enquiry never actually arrived. Meanwhile your potential customer is waiting to hear from you and quietly assuming you’re not interested.

SMTP is usually the fix. Here’s what it is and why it matters.

So what actually is SMTP?

SMTP stands for Simple Mail Transfer Protocol. Unsexy name, important job. It’s the system that handles sending email from one place to another. Every email your website sends, contact form enquiries, order confirmations, password resets, goes through some kind of SMTP connection. The question is whether that connection is set up properly or not.

Why WordPress email is unreliable by default

Out of the box, WordPress sends email using a built-in function that’s basic and unauthenticated. Most modern hosting servers either block it outright or deliver it so poorly that emails end up in spam or disappear entirely.

And here’s the sneaky part: everything looks fine on your end. The form works. The success message pops up. You just never see the enquiry. It’s one of those things that costs businesses real leads without anyone realising it’s happening.

What SMTP actually does

Setting up a proper SMTP service connects your WordPress site to a dedicated email sending platform with the infrastructure and reputation to actually get emails where they need to go.

Think of it like the difference between dropping a letter in a random letterbox with no return address versus sending it through a proper courier with tracking. One might arrive. The other almost certainly will.

A quick note on your sending address

While we’re here: make sure your forms are sending from a domain email address like hello@yourbusiness.co.nz, not a Gmail or Hotmail address. Free email providers have their own rules about what can send on their behalf, and using one as your sending address can cause deliverability issues that are completely outside anyone’s control to fix.

Sort that first if you haven’t already.

SPF, DKIM and DMARC: don’t skip these

Alongside SMTP, there are three DNS records that play a big role in whether your emails are trusted by the recipient’s mail server. You don’t need to know the technical detail, but you do need to know they exist and that they should be set up correctly.

SPF tells receiving servers which services are allowed to send on behalf of your domain. DKIM adds a digital signature so the recipient’s server can verify the email genuinely came from you. DMARC ties the two together and tells servers what to do if something fails those checks, which also protects your domain from being spoofed or used in spam.

When you verify your sending domain in SMTP2GO, SPF and DKIM are handled automatically for emails sent through their platform. But if you’re also sending day-to-day emails from Gmail or Outlook using your business domain, those need their own SPF and DKIM records set up at the DNS level too. DMARC is a separate record you’ll need to add yourself, but there are free tools that make generating it straightforward. It’s a bit of back and forth in your domain settings, but it’s a one-time job and well worth doing properly.

Worth knowing: these records matter for all email sent from your domain, not just your website forms. Getting them set up helps your day-to-day emails land in inboxes too.

What we use and recommend

When something goes wrong, that visibility makes troubleshooting a lot easier.

Postmark is another solid option, particularly for transactional emails like order confirmations and password resets. Slightly more technical to set up but with a great reputation for deliverability.

How to check if you’ve got a problem

Fill in your own contact form and see if the enquiry arrives. You can also use a plugin like WP Mail SMTP which includes a test email tool that flags any errors.

If you’re on a care plan with us, SMTP is already sorted. If you’re not sure what’s running on your site, it’s worth checking.

Even with SMTP sorted, check your form settings

SMTP fixes the deliverability side but it won’t fix a form that’s been set up wrong. Notification emails going to an old address, the reply-to field left blank so when you hit reply it bounces back to your own address instead of the customer’s, forms copying in the wrong people. It happens more than you’d think.

Check every form on your site individually. Where notifications are going, whether the reply-to is set to the customer’s email, whether the right people are being copied in. They can all have different settings and they’ve all got different ways of quietly going wrong.
